Appointments track a deal from the first viewing all the way to key handover. Each appointment belongs to a lead and holds the milestones of that purchase in one timeline.
How it works
When a lead is ready to view a property, create an appointment for them. Inside it you add scheduled notes — one per milestone — and update each as things happen:
- The viewing or appointment itself.
- Booking, then the loan-offer signing.
- The legal and sale-and-purchase agreements.
- Key handover — the deal is complete.
Milestone statuses
Each scheduled note carries its own status:
- In progress — scheduled, hasn't happened yet.
- Booked — the appointment happened and resulted in a booking.
- Completed — the milestone is done (loan offer signed, agreements signed, or keys handed over).
- Missed — the date passed without the note being updated. This one is set for you automatically, once a day, so nothing quietly sits as “upcoming” forever. If a milestone shows as missed and it did actually happen, just update it to the right status.
Using it day to day
Keep each milestone's status current so your timeline reflects reality and reminders stay useful. As milestones complete, the linked lead moves along its own status too — see Leads & Follow-ups. If the same customer buys a second property, create a separate appointment for that deal.
You don't have to start from this page: you can schedule the next milestone straight from the leads list, and it lands on that lead's appointment. Upcoming milestones also feed your Dashboard.
